This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our platform, website, and mobile application (collectively, the "Services"). This policy is governed by the laws of the State of Texas.

2. Information We Collect
2.1 Information You Provide
• Account registration information: business name, owner name, email address, phone number, business address, trade type
• Payment information: processed and stored by Stripe, Inc. We do not store raw card numbers
• Job information: customer names, addresses, phone numbers, service types, notes
• Technician information: names, titles, phone numbers, profile photos
• Job photographs: before and after images uploaded by technicians during service completion
• Communications: messages sent through the platform between dispatchers, technicians, and customers
2.2 Information Collected Automatically
• GPS location data from technician mobile devices during active jobs only
• Device information: device type, operating system, app version
• Log data: IP addresses, browser type, pages visited, time spent on pages
• Cookies and similar tracking technologies as described in Section 8
2.3 Information About Your Customers
When you use ClearArrival you provide us with information about your customers including their names, addresses, and phone numbers. You are responsible for ensuring you have obtained all necessary consents to share this information with ClearArrival.
3. How We Use Your Information
• To provide, operate, and improve the Services
• To send automated SMS and email notifications to your customers on your behalf
• To generate real-time tracking links and customer-facing tracking pages
• To process payments through our payment processor Stripe
• To provide customer support and respond to inquiries
• To send administrative emails including billing notifications, trial expiration warnings, and Terms updates
• To analyze usage patterns and improve platform performance
• To comply with legal obligations
We do not sell your personal information or your customers' personal information to third parties for marketing purposes.
4. GPS Location Data — Special Notice
ClearArrival collects real-time GPS location data from technician mobile devices. This is core to our service. We collect location data only during active jobs and only when the technician has tapped On My Way. Location tracking stops automatically when the job is marked complete.
Location data is used exclusively to display the technician's position on the customer tracking page and to calculate estimated arrival times. Location data is stored for 30 days and then automatically and permanently deleted.
We do not use location data for advertising, profiling, or any purpose other than operating the tracking feature.
Texas law requires employers to inform employees when their location is being tracked. By using ClearArrival you represent that you have provided your technicians with appropriate notice of location tracking during active jobs.
5. SMS Communications and TCPA Compliance
ClearArrival sends SMS messages to your customers on your behalf including job confirmation messages, on-my-way notifications, and post-service survey links. Each SMS message identifies your business by name.
All SMS messages include an opt-out mechanism. Customers who reply STOP will be removed from future SMS communications for your business. You are responsible for maintaining records of customer consent to receive these messages.
ClearArrival complies with the Telephone Consumer Protection Act (TCPA) and maintains registration with wireless carriers through the A2P 10DLC system.
7. Data Security
We implement industry-standard security measures including:
• Encryption of data in transit using TLS 1.2 or higher
• Encryption of sensitive data at rest in our database
• Row-level security policies ensuring users can only access their own data
• Two-factor authentication for all account access
• SHA-256 hashing for security tokens
• Regular security audits and vulnerability assessments
No method of electronic transmission or storage is 100% secure. While we implement commercially reasonable safeguards, we cannot guarantee absolute security.
9. Data Retention
• Active account data: Retained for the life of the account
• GPS location history: Automatically deleted after 30 days
• Job photographs: Retained for the life of the account plus 90 days after closure
• Closed account data: Retained for 90 days after account closure then permanently deleted
• Trial account data: Retained for 90 days after trial expiration then permanently deleted
• Payment records: Retained for 7 years as required by Texas tax law
10. Your Rights — Texas and CCPA
Depending on your location you may have the following rights regarding your personal information:
• Right to access: Request a copy of the personal information we hold about you
• Right to correction: Request correction of inaccurate personal information
• Right to deletion: Request deletion of your personal information subject to legal retention requirements
• Right to portability: Request your data in a machine-readable format
• Right to opt out of sale: We do not sell personal information

11. Children's Privacy

We may update this Privacy Policy from time to time. We will notify you of material changes by email and by posting a notice on our platform. Your continued use of the Services after the effective date of the revised policy constitutes your acceptance.
